Here are the frequently asked questions about tenants and managing them:
1) How can I create a new tenant?
Answer: It is quite simple to do this. From the admin portal, go to the ‘Tenant’ section. There is an option to “Create Tenant” from the top right corner, which leads to a pop-up where you can select the property and unit, but most importantly, the option to select a prospect associated with the new tenant. Once this is done, you are redirected to create a new lease with this new tenant.
2) How can I invite a tenant to the portal?
Answer: From the tenant page (where you can see all active tenants), on the leftmost column, you can check if any tenant has access to the portal or not. If there’s any “Invite Now” displayed, you can click on it, and it will automatically send an invite to the tenant. The other way is, you go to the tenant’s detail page and look for the ‘Tenant Portal’ status, and click on the ‘X’ beside it. For a detailed description of this, go here.
3) How to add rental income from a tenant?
Answer: This can be done from the tenant page and from the ‘Action’ column (on the right-hand side). From there, you select ‘Add Rental Income’. After you are redirected to another page, you are supposed to provide the tenant’s account and property details, rent due dates and an overall summary of the rent amount.
4) How can we see which tenants still have rent due?
Answer: You can see this from the ‘Tenant‘ section from ‘Tenant Management‘. On the top of the page, you can see various categories, among which one of them is ‘Tenants with Rent Due“. By clicking on this tab, you can see a list of all the tenants who still have rent due.
5) How to export the master tenant list?
Answer: From the tenant page, look to the top right corner where you see the option to ‘Create New Tenant’. Clicking the button next to it allows you to export the master tenant list to your computer as an Excel file.
6) How to sort tenants by property?
Answer: From the top of the ‘Tenant’ page, there are various tabs which categorize the tenant list automatically. To sort tenants by the property, click on ‘Tenants by Property’. You get a sorted list based on the property after that.
7) How to see a tenant’s payment history?
Answer: This can be seen from the tenant’s detail page. In the middle of the page, there is a ‘Finance’ section, where all the payment information can be found. Click on ‘Payment History’ to view the history.
8) Is there an option to contact tenants who have moved out?
Answer: Tenants who have moved out will be removed from the system, so there is no way to contact them using our software. However, there is a ‘Moved Out Tenants’ section on the tenant page, where all tenants who have moved out can be seen. You can get their contact information from there.
9) How to move out a tenant?
Answer: You can do this from the tenant’s detail page. From the top-right corner, click on the Actions button to expand it. The option to ‘Move Out Tenant’ is at the end of the drop-down list. Clicking on this brings out the final pop-up, where you may write down a note to the tenant and provide a reason for moving out.
10) How to view the history of already served forms to a particular tenant?
Answer: Go to the tenant’s detail page, and look at the top-right corner. Beside ‘Actions’, there is another button called ‘Forms’. Expand that and click on ‘View History’ to view the history of already served forms.
11) Can LTB forms be digitally signed by tenants?
Answer: Yes, LTB forms can be digitally signed just like the leases were signed if e-communication has opted during lease creation. The forms are sent via email in that case.
12) Can tenants be uploaded in bulk?
Answer: Yes, they can be uploaded in bulk. However, you can only bulk upload tenants for a property when there is no existing lease/tenant for that property.
13) Does Mi Property Portal have all LTB forms/provincial leases automated?
Answer: Yes, LTB forms are automated for all provinces except for Quebec, the Northwest Territories, Nunavut and Yukon. In the case for Quebec, our software does not support the French language currently.
